AiDA is Ansarada’s Intelligent Dynamic Assistant, built specifically for dealmaking. This empowers teams to use secure AI built to ask questions, review data room content and find answers faster inside Ansarada’s secured environment.
With AiDA, users can start with a prompt instead of manually searching across folders, documents, Q&A and room activity. It helps teams understand what matters faster, reduce repetitive manual work and keep complex projects moving with more clarity.
How Ansarada approaches Ai and data retention
The large language models (LLM) Ansarada uses:
We utilise LLMs from our two trusted enterprise-grade providers. We employ a multi-model architecture in which models are selected for their specific use case. Ansarada maintains enterprise contracts with these providers that include provisions that ensure no customer data is retained, logged, or used for model training.
AiDA draws only on the content of your data room, its answers can't be padded with information from the open internet, and the model is never trained on your prompts, uploads, or outputs. That containment is what keeps hallucination risk low.
Data processing:
AiDA is designed to respect regional data sovereignty in line with each customer's configured data room environment. Document data and associated AI-processed content (including OCR outputs, translated versions, and extracted entities (NER)) are stored in the customer's appointed region.
AiDA runs entirely within your data room. Only the specific, permission filtered content needed to answer a question is used for inference, and nothing leaves the room the way it would if a document were uploaded to a public chatbot. For regulated firms, keeping documents out of consumer tools altogether isn't optional.
Data retention and training:
Our contracts with LLM providers ensure that they do not retain, reuse, or train on customer data. All API interactions are stateless and governed by zero data-retention commitments at the provider level.

Prompts:
A prompt is how you interact with AiDA- it's the text you send to receive a response, whether it's a question, instruction, or request. The clearer and more specific your prompt, the more useful and accurate the response is likely to be.
A single prompt is counted as one interaction, even if it contains multiple questions.
Usage:
In all live data rooms (excluding Ansarada’s Free Service as defined in our Terms and Conditions available at: https://www.ansarada.com/legal-policies/terms-conditions), there is no usage limit, so users do not need to monitor their prompt usage.
In Free Service data rooms, administrators receive up to 100 free prompts per room, shared across all administrators. To check usage, click the AiDA hamburger menu to view the number of prompts used and the remaining balance. Both administrators and guests can monitor how many prompts or credits they have remaining.
If you’re not seeing 100 free prompts please reach out to our support team who can investigate.
How are prompts measured? e.g. if I ask two questions in one prompt, does that count as one or two?
A prompt is how customers interact with AiDA—it's the text a customer sends to receive a response, whether it's a question, instruction, or request. The clearer and more specific the prompt, the more useful and accurate the response is likely to be.

How are credits measured? e.g. if I ask two questions in one message/prompt to AiDA, does that count as one or two credits?
A credit is the unit used to measure your usage of AiDA.
Each time you submit a prompt or run a task, AiDA consumes credits based on the complexity of the request and the amount of content processed. Credit usage reflects the volume of text analysed and generated. For example, shorter and simpler queries typically use fewer credits, while longer documents, more detailed analysis, or complex tasks may use more. This ensures customers are only charged for what you actually use.
Guest users receive up to 100 free credits per user. To check usage, click the AiDA hamburger menu to view the number of credits used and the remaining balance. Both administrators and guests can monitor how many prompts or credits they have remaining.
Buying or replenishing credits
Once administrators in Free Service data rooms reach the 100-prompt limit, they can convert the data room to a live room to unlock unlimited AiDA usage. If they are a Corporate customer (i.e. those who selected Company when signing up), they can also select 'Subscribe now' to activate their subscription without inviting a guest user.
Guest users who reach their credit limit can register their interest in purchasing additional credits. You can do this by simply clicking Register interest. Our team will then be in touch. We'll notify them when the credit purchase option becomes available. In the meantime, customers are welcome to contact Customer Support to discuss options for unlocking additional credits.
Troubleshooting
AiDA not showing in your room?
There are 2 reasons this might be the case:
Per request from key contacts and administrators, Ansarada can turn off AiDA within your room.
Team-level AiDA access has been revoked, this means an Administrator has revoked access for that specific team to AiDA.
If neither of the above fit your problem, please reach out to support.

Summarising documents
All regions allow document summaries. If you're experiencing challenges with summarising documents, see the list below for a few things to check:
Has the file been uploaded correctly? Is it a corrupt file or a blurry scanned document? If so please re-upload the original to the data room.
Is the document still uploading and being scanned by our OCR? It may take a few minutes post-upload to scan all files, please give the data room some time to complete this process.
If you're logged into the room on multiple browsers, it may slow down AiDA access. Please make sure to only be logged in once, and clearing your cache and cookies may help.
Consumed prompts not adding up?
Free prompts for administrators in Free Service data rooms are shared among all administrators within the same data room. It's likely that the available prompts were used by other administrators in the data room.
Guest user free credits are split across all data rooms they may have access to, not 100 credits per data room. These may have been consumed across other projects. A credit is consumed based on the complexity of the query, it may not be just 1 question - 1 credit. This is similar to how tokens are consumed in other AI tools.

Can AiDA take action for me?
Can AiDA take action for me?
Not yet. AiDA is read-only; she helps users find and understand information.
How many files can AiDA understand to ask a reports query. I.e. if there are 5000 documents, and I ask it to show me a list of all French files. What are the limitations here?
How many files can AiDA understand to ask a reports query. I.e. if there are 5000 documents, and I ask it to show me a list of all French files. What are the limitations here?
There is no hard limit on the number of documents AiDA can process. However, AiDA uses the gRPC protocol to transfer data between services, and gRPC imposes a maximum message size. As a result, the practical limit depends on the total size of the data being transferred rather than the number of documents themselves.
How many users can AiDA read through to provide correct analysis and content?

There is no limit in terms of the amount of users it can provide answers on. e.g. if there are 1000 users, she can still provide the information
