Change the default numbering in your room

Auto numbering lets Room Administrators control the format of folders and subfolders in the Document index. You can choose the format your folder and file references will follow and decide what delimiter separates each level (dot, dash, underscore, or space). This ensures a consistent, easy‑to‑navigate folder structure for everyone.

Step 1: Log in to the Ansarada Data Room

Log in at dash.ansarada.com.

Step 2: Open Room settings

  • From the left‑hand menu, under Manage.

  • Click Settings to access the Room configuration options.

Step 3: Find the Auto numbering section

  • Scroll down the Settings page until you see Auto numbering.

  • This section controls how folder and subfolder numbers are formatted in the Document index.

Step 4: Turn Auto numbering on

  • Ensure the Auto numbering toggle is switched On.

  • Auto numbering is enabled by default, but it must remain on to apply custom formats.

Step 5: Choose a delimiter

  • Select how each folder level is separated.

  • Available delimiter options include:

    • Dot (.)

    • Dash (–)

    • Underscore (_)

    • Space
      Example Dot delimiter is 01.01, Dash delimited would be 01-01.

Step 6: Choose a numbering format

  • Select the format for folders and subfolders:

    • Numbers (1, 2, 3)

    • Lowercase letters (a, b, c)

    • Uppercase letters (A, B, C)

Step 7: Include parent numbers (recommended)

  • Choose whether to include parent numbers in subfolder numbering.

💡 Tip: Including parent numbers makes it easier to find files, as the first number always matches the parent folder.

Step 8: Add numbering levels

  • Select Add level until the number of levels shown matches the depth of your folder structure.

  • Each level represents a folder or subfolder layer in the Document index.

Step 9: Save your changes

  • Select Save to apply your numbering preferences.

    The Document index will update to reflect your selected format for newly numbered folders.

FAQs

Is auto numbering enabled by default?

Yes. Auto numbering is turned on by default in all Rooms.

Will existing files and folders be renumbered automatically?

No. Changing the auto numbering format does not automatically renumber existing files or folders.
To renumber existing content, you’ll need to use the bulk renumbering feature.

Can I change the numbering format later?

Yes. You can return to Manage → Settings → Auto numbering at any time to update the delimiter, format, or number of levels. Changes apply going forward.

What happens if I move files or folders?

If files or folders are moved, numbering may need to be updated to keep the Document index consistent.

What’s best practice for folder numbering?

Ansarada recommends:

  • Keeping auto numbering enabled

  • Including parent numbers

  • When customising number formatting, match the number levels to your folder depth

This ensures a clear, consistent, and easy‑to‑navigate Document index.
