Managing Secure Office for Microsoft documents

Default security is applied to Office documents, learn how to manage this default settings

Secure Office lets you apply Security controls, such as print, save, edit and copy restrictions, to Word, Excel and PowerPoint files. It's turned on by default for every Data Room, and only Admins can turn it off.

Step-by-step guide

Step 1: Log in to the Ansarada Data Room

  • Log in at os.ansarada.com.

Step 2: Locate your Data Room

  • Locate the room for which you're trying to access

Step 3: Navigate to the Settings page

  • In the left menu, under Manage, select Settings.

Step 4: Scroll to Microsoft Office documents

  • Scroll down to the Microsoft Office documents section.

Step 4: Turn Security and tracking on or off

  • Turn Security and tracking on to make print, save, copy and tracking controls available for Word, Excel and PowerPoint files. Turn it off to remove these protections from Microsoft Office files across the Room.

    Important about this step: Turning this off removes Secure Office protection from the entire Room, not just one Team or Sub-team.

Step 5: Save your changes

  • Select Save to apply the setting.


FAQs

What happens if I turn Secure Office off?

Security controls can no longer be applied to Word, Excel or PowerPoint files. Documents without security controls can be saved and printed indefinitely, and their activity can't be recorded in the audit trail after the initial download.

What happens if I turn Secure Office back on?

You'll need to reapply Security controls to each Team or Sub-team's documents. This also applies if you created Teams before turning Secure Office on for the first time. Learn how to edit Security settings here.

When shouldn't I use Secure Office?

We recommend:

  • Converting files that aren't intended for collaboration to PDF instead

  • Releasing files that need to be marked up, edited or commented on without Secure Office activated, since these are working files

  • Weighing the extra security against the practical impact of the system requirements for all other files
