ℹ️ This feature is only accessible to Admins.

Teams are important for Room management because they help to categorise bidders for reporting. They are also for Q&A.  People in the same Team can see all the questions that other people in their Team have asked.

Sub-teams are created within the parent Team when people are to have different document access privileges, security settings for files or Question subjects to others already in the team. People in Sub-teams still belong to the same parent Team. This is especially important to note for Q&A purposes.

💡Tip: Admins cannot be added or moved into Sub-teams.

Create Teams

Follow these steps to create a Team:

1. Go to the Left menu. Under Manage, select either Sell side or Buy side.

⚠️Good to know: The wording on the internal and external tabs for managing Teams/people under the Left menu changes based on the Room’s transaction type. Learn more here.

2. Select Create team.

3. Name your Team and select a color. This is helpful for reporting.

4. Under Team permissions you can allow or deny Full text search, Bulk download and Security for Microsoft Office files.

  • Full text search: Choose either to allow or deny the Team the ability to Search for words and content within documents. It doesn't search Q&A content.
  • Bulk download: Choose to either allow or deny the Team the ability to Bulk download multiple files and folders at once.

⚠️Good to know: The Bulk download link will remain active for 7 days. If it is not downloaded within this time frame they will need to re request another Bulk download.

  • Security for Microsoft Office files: Choose either to allow or deny the Team to have Security controls applied to Excel, Word and Powerpoint files.

💡Tip: If you don't have Secure Office activated you will not have the option to apply Security controls to Microsoft Office files. It is recommended to check the system requirements before activating Secure Office for a Team. Learn how to activate Secure Office here.

5. Select Create team.

 

Create a Sub-Team

Follow these steps to create a Sub-team:

1. Go to the Left menu. Under Manage, select either Sell side or Buy side.

2. Locate the Team that you would like to create a Sub-team under. 

3. Select the Item menu, then select Create Sub-team.

4. Name your Sub-team.

⚠️Good to know: The color of the Sub-team will automatically be taken from the parent Team.

5. Under Team permissions, you can allow or deny Full text search, Bulk download and Security for Microsoft Office files.

  • Full text search: Choose either to allow or deny the Team the ability to Search for words and content within documents. It doesn't search Q&A content.
  • Bulk download: Choose to either allow or deny the Team the ability to Bulk download multiple files and folders at once.
