ℹ️ This feature is only accessible to Administrators.

Ansarada will only keep data in closed rooms for a maximum of 90 days before it is automatically deleted from our servers. With Ansarada Vault you can safely store your documentation for the required legal retention period, eliminating the need for outdated storage methods like USBs of insecure archives. We operate an opt in policy if you would like to retain this data as a closed-access archive (Ansarada Vault), meaning no one can view the data unless an authorized stakeholder has specifically requested access.

Alternatively, with Ansarada Always™. you can keep your documentation continuously updated and accessible on the platform for a low cost.

To find out more please reach out to Ansarada support!

Room archives can be requested at any stage of a deal. They can be for the entire Room, including Q&A, or for part of the Room. Learn more about Archive types here.

⚠️ Good to know: Archiving a Room, will not automatically close down the Room. Learn more about disabling a Room here.

If the Room is enabled and you require an Archive link, follow the below steps:

Step 1: Login to the Ansarada Dash

Step 2: Locate the enabled room for archive

  • Click on the Data Room name you want to archive. Then go to "Manage Document", select "Actions", and choose "Archive".

Step 3: Create Archive

Create archive for

  • Select either Admin only - full archive or the specific Team you would like the archive filtered by.

💡Tip: When selecting a Team in a filtered archive, you can choose to filter the documents by a particular sub-team within the parent Team or All sub-teams within the parent Team. If you do not want to filter by a sub-team or include all sub-teams, select No sub-teams.

  • Include in Archive - Filtered archives allow you to include any disabled documents that the Team is allowed access to. You also have the ability to only request documents or Q&A. Learn about disabled documents here.

  • Workflow & Workflow attachments - Private tabs created by guests are not included in any archive type, management area users’ tabs are only visible if shared with internal or external teams, and the Workflow export is read-only and cannot be edited.

Truncation type

Archives contain the full file path for every archived document. File paths are however limited to 260 characters in Windows computer. You may need to truncate the file paths by selecting one of the truncation types so that you can view them on your computer.

  • Create Archive

Select Create archive and the archive request will be confirmed, select Got it

Step 4: Download and extract archive

  • Once the Archive has been completed you will receive an email with the Archive download link. Select Download archive.

  • If you are not logged into the Room, you will be asked to login. The zip file will then automatically download.

  • Once the download has completed if you do not get a message to save the zip file, go to where the zip file has downloaded (usually this will be your downloads folder).

  • We recommend using Winzip or 7zip program to extract the zip file. Right click on the zip file, select WinZip and select Unzip to...

  • The WinZip Extract window will open, select location (Documents or C Drive) to extract the file to and select Unzip.

⚠️ Good to know: Archive links are valid for 30 days and can be downloaded by Admins on the Archives page at anytime. If you are forwarding an Archive link to a recipient, they will need to have access to the Room and be invited into the team the archive was created for to be able to download the link. Learn more here.

If the subscription has ended you will have only 90 days to create and download your archive, after which point the data will be deleted from our servers.

How do I get a copy of the download link?

If you have not received the email containing the download link, you can now get a copy straight from the room itself.

Within creating an archive section, you'll notice an option called 'Copy link.' This handy feature lets you easily obtain a copy of the archive link, which you can then share with external parties. It's a convenient way to share the archive without any hassle!

What Workflow data do we include?

Full Archives

The full archive includes ‘Workflow attachments’ and ‘Workflow’. This includes all tabs created by internal users, even those that were not shared with others in the room.

Workflow tabs created by guest users, whether shared or unshared, are not included in the archive. We also do not include unshared tabs created by Management Area users.

Filtered Archives

Only workflow tabs that were shared with the team for which the archive is being generated will be included.

All workflow tabs are locked and cannot be edited.

Requesting USBs?

If you require the preparation of a USB Archive, please complete the form attached below and send it to [email protected].

Please note, in order to ship USBs all overdue invoices must be paid.
