Available reports

View the Ansarada Room reports and what is included in them.

ℹ️This feature is only accessible to Admins and Viewers.

Ansarada Room reports provide insights into Room activity.

Q&A report access is determined based on your Q&A role, if assigned.

View Reports

1. Go to the Left menu. Under View, select Reports.

2. The list of report categories and reports appears. Select the one you want to view.

 

General Reports

Status

Definition

Insights

Track which bidders are most interested. Subscribe yourself or your Team to weekly insights and recommendations.
(Please note that this report is automatically subscribed for Admins and Viewers. Only Ansarada support is able to subscribe, unsubscribe, or resend the insights email)

Activity

Provides an overview of all Data Room activity through tables and graphs in Excel. Content includes total logins, documents viewed and questions submitted per person or team.

Document Security

Displays the document security for each Team and Sub team. Content is organized by team and sub-teams and includes document access, save permissions, print permissions, edit permissions, copy permissions and watermark information. Available in Excel.

Document Views

Displays who has viewed each document in the Data Room and can be used as an audit trail. For the document selected, the viewer's name, email address, team and date and time of document viewed is listed.
The report displays as a web page. Only accessible to Data Room Admins and Viewers.

Logins summary
by date

Displays the total number of logins per team for a specified time period. The report can be viewed as a web page or downloaded as an Excel file.

Percentage viewed by team

Displays a breakdown of document views as a percentage of each teams accessible documents. Content includes folder number, folder name and percentage of documents viewed by team for each folder. Available in Excel.

Popular items

Displays the document generating the most Q&A activity for that team or person, the most viewed document, most viewed folder, most active person documents and most active questions.
Can be filtered by Team/Person, enabled people, disabled people and time period. The report can be viewed as a web page or downloaded as an Excel file.

Usage for billing

Displays key information for a specified time period that informs billing
Content includes date, total number of files in the Data Room, number of enabled files, number of disabled files, number of attachments (to Q&A answers), number of PDFs, total Data Room size (includes PDFs and non-PDFs), size of PDFs only and size of non-PDFs only.
The report can be viewed as a web page or downloaded as an Excel file.

Activity log by person

Displays key information for a single person with access to your Data Room. Is often used as an audit trail of that person's individual activity in the Data Room.
Content includes name of files viewed, printed and saved, list of files bulk downloaded, questions asked and questions viewed. The report displays as a web page.

User Activity

Displays all login activity for people in your data room.
The report can be filtered to view by date, team and activity type. Available in Excel.

Views summary

Displays the entire Document Index and the number of times a file/folder has been viewed by a person or team. From the report, select a specific file to see who has viewed the file.
The report can be viewed as a web page or downloaded as an Excel file.

Views summary by date

Displays number of documents viewed within the specified time period. Information is listed by date.
Available as Excel, which produces a graph displaying number of views per team.

Notifications

Displays all notifications sent to users for a specific document. This report can be found under the Manage Documents actions menu.
The report can be viewed as a web page or downloaded as an Excel file.

Document history

Displays all changes in security controls for all folders and documents within the specific time period it is filtered by.
Available in Excel.

Document activity

Displays all enable/disable actions for all documents in the room.
This report can be filtered by time period, enabled or disabled people and documents. Available in Excel.

Document Index

Details your document index, showcasing the original file names at the time of upload.
This report can be filtered by report date and a specific team’s view. Available in Excel.

Bulk download

See all bulk downloads in a specific date range within the specific time period it is filtered by. Available in Excel.

Bulk email

Audit all bulk emails sent from the room within the specific time period it is filtered by.
Available in Excel.

Q&A Reports


Exclude specific teams from reports

💡Admins can exclude specific sell side and buy side teams from their reports if they would like a more refined view (Note - this does not mean that the excluded teams' activity will not be tracked). To do this:

1. Go to Sell Side/Buy side Page

2. Under the Actions tab in the top right, Click Edit People


3. Tick the box next to Show activity in reports and make sure that its turned off


4. Tick all the teams that you want to exclude in your reports and then press Update. This will make the change for you.
