Sell-side or internal users can now easily share their workflow tab with external teams, enabling seamless collaboration between both sides.
⚠️ This article will outline if users are able to see other users and teams who have access to workflow depending on their room role and workflow permissions once the workflow is shared with them.
How to share a workflow tab with an External Team
To share a workflow tab with an external team, follow these steps:
1. Navigate to the specific workflow tab you want to share.
2. Click 'Share' in the top right corner of the page. Alternatively, click on the tab's Action Menu (three dots next to the tab name) and select 'Share' from there.
3. A share dialog will appear. Choose the permission you want to grant to the external team:
Permission | Description |
No access | People in this external team won't be able to see your workflow tab, and you won't have the option to assign items to them. |
Can view | People in this external team can view actions and tasks in this workflow tab, but can't make changes. |
Can edit | People in this external team can view, edit, and create new items in this workflow tab. |
Can manage | People in this external team have full access to manage all aspects of this workflow tab, including ability to set permission (on their own team), rename and delete the tab. |
4. Click 'Save and Share' to confirm your action. You'll see a confirmation message in the bottom right corner to let you know it's been saved.
⚠️Good to know
Once the workflow tab is shared with external teams, they will have access and can see members of the internal teams who also have access to this workflow.
External users have all the relevant view/edit rights as other workflow users once they are invited into a collaborative workflow.
External teams can only manage access or share the workflow tab with their own team and sub-team members.
Internal team users can assign tasks to the external team once a workflow tab is shared, and vice versa.
