How to Add and Invite People

Add and invite people to a Room.

Administrators can invite people into the Room as required. Internal roles can be added in the Internal or Sell Side menu. The Guest Room role can only be added within the External or Buy Side menu.

How to Add people to a Team/Sub-team:

Step 1: Log in to the Ansarada Data Room

  • Log in at os.ansarada.com


​Step 2: Locate the Buy side.

  • On your left tool bar, see Buy side.

  • The wording on the internal and external tabs for managing Teams/people under the Left menu changes based on the Room’s transaction type. Learn more here.

Step 3: Locate the Team or Sub-team.

  • The team/sub-team will need to be created in order to add people to them. Learn how to create a Team here.

  • If a Team does not have Security or people set up, "Change Teams Access" will appear in the Team area. You will need to set security controls before granting access as by default all files and folders will be hidden to the Team or Sub-team.

Step 4: Add People to the Team

  • Select the Item menu, then select Add people.

  • If there aren’t any existing people in the Team or Sub-team and Security controls have been set, select Add people from the Team or Sub-team.

Step 5: Choose Room Roles

  • Select the Room role and Q&A role.

    1. Under Room role, Guest will automatically be selected as it's the only role available for externals.

    2. Under Q&A role, select the Q&A roles that these people are to have.

Step 6: Enter the Email address(es)

  • Copy and paste the email of the person you wish to add. You can add multiple people in one go; just put their emails on a separate line in the email box, and they will be added to the same team with the same role.

Step 7: Send the Invitation

  • If you want to just add the email address to the team but not send out the invite, select Add. If wanting to invite the person/people, check the box for Send email invitations and then add and invite.

How to Send Invitations in Bulk:

If you've added people but haven't invited them to the room yet, follow these steps to send the initial invite emails:

Step 1: Follow Steps 1 & Steps 2 from above.

  • Login at os.ansarada.com

  • Locate the Buy side tab.

Step 2: Select Send Invitation

  • In the top-right Actions menu, select Send Invitation.

Step 3: Filter the User List

  • Under Recipients, filter the user list to Not Invited.

Step 4: Select the people

  • Select the box in each person's row that you want to send the invite to. If you want to send the invite to everyone in the list, select the box in the top header row to select all people.

Step 5: Select Send

  • Select Send to send the invitations.

FAQs

Is there a way to export the list of teams and its people?

When on the Buy-side or Sell-side, visit the Actions menu to export the user list in Excel. This will go to your default downloads folder.

Can I move a user from the buy side to the sell side and vice versa?

No, users can't be moved from the buy-side to the sell side and vice versa. The user will need to be added to the intended side.

What does "Create people that have the same email as an existing person" mean?

This is used if a person will be on both the internal and external side using the same email address. Checking this box allows this to be possible in the data room.

How do I add People on the Sell/Internal side?

The steps will be the same as above. Internal roles will be displayed for the user role options. Each role has distinct responsibilities and functions available to them in the Room. Learn more here.

I want to add People to Teams, but I don't want to go live yet.

If you're not ready to go live with your deal yet, select Add and leave Send email invitations unchecked. When you are ready for the invite to be sent, select Send email invitations in the Actions menu.

How do I manage the Terms of Access for the team?

If you have enabled the Terms of Access in the data room, you can select how often the Terms of access will appear for the team. If you do not have terms of access activated this won't appear, learn how to activate terms of access here.

Does a role for Q&A have to be assigned?

If no Q&A role is assigned they will be unable to see or participate in Q&A. Q&A roles vary depending on if you are using the default bidder-initiated (also known as one-way) Q&A or two-way Q&A. Learn about one-way Q&A roles here and two-way Q&A roles here.

I'm getting a "User exists with email" error - what do I do?

This error occurs when the email address has already been added to the room. Check the user within the room before adding them twice. If you'd like to add them twice for testing purposes then make sure to tick "create people that have the same email as an existing person".
