Edit single document

Update document name and number, or upload new versions of document in the Room.

ℹ️ This feature is only accessible to Administrators and Publishers.

You can edit document name and number, or upload a new version of a document by taking the following steps:

1. Go to the Left menu. Under Manage, select Documents.

2. Navigate to the document you want to update.


3. Next to the document name, select the Item menu, on the far right and select Edit.

4. Next to Document, select Choose File, find and upload the new document.


5. Review the Number and Name that will appear next to the document in the document index. Edit if necessary.

💡Tip: If you renumber, remember to use double digital, e.g. 01, 02, so the numbers appear in order.

6. The option to Notify affected users when document is updated is set to Off by default. Select the tick box if you want to notify users.

7. Be sure to select Save when you're done.

⚠️ Good to know:

  • If the original document is enabled, the replacement will be uploaded as enabled and be immediately available in the Document Index. Learn more about document status here.

  • The document history will show previous versions of the document that have been uploaded, including the date, time, and name of person that made the update. You have the option to restore any previous versions of the document using the Restore button.
