How to replace an existing document in the Room with an updated version

ℹ️ This feature is only accessible to Administrators and Publishers.

The room will automatically detect matching documents that has the same name, type and location. When you bulk upload, document that matches these conditions will replace the older versions in the room.

If you want to hide a document from the Document Index and upload a different one, follow the embedded links.


💡Tip: Secured documents (secured from a previous Deal Room or password protected) will be rejected. To upload the document, please remove the security. Once the document has been uploaded into the Room, you will be able to apply Ansarada's Security controls. Learn more about Security here.


Learn how to easily replace a document as per the following steps:

1. Go to the Left menu. Under Manage, select Documents.

2. Next to the document name, select the Item menu on the far right, and select Edit.

3. An Edit document window will appear. Next to Document, select Choose File, find and upload the new document.

4. The option to Notify affected users when document is updated is set to Off by default. Select the tick box if you want to notify users.

5. Select Save to replace the document.

⚠️ Good to know:

  • If the original document is enabled, the replacement will be uploaded as enabled and be immediately available in the Document Index. Learn more about document status here.

  • The document history will show previous versions of the document that have been uploaded, including the date, time, and name of person that made the update. You have the option to restore any previous versions of the document using the Restore button.
