How to access the reports in the Data room
Step 1: Log in to the Ansarada Data Room
Log in at dash.ansarada.com
Step 2: Navigate to the Reports section
On the left-hand side, click "Reports" under "View."
Available Reports
Most reports can be exported to Excel. We recommend exporting them to Excel by changing the "Format", as it provides more detailed information and makes the data easier to read and filter, if needed.
Insights Report
Report Name | Definition |
Insights | Track which bidders are most interested. Subscribe yourself or your team to receive weekly insights and recommendations. |
Activity Report
Report Name | Definition |
Activity | Provides an overview of all Data Room activity through tables and graphs in Excel. The content includes total logins, documents viewed, and questions submitted per person or team.

People (Users) Reports
Report Name | Definition |
Activity Summary | Provides insights into team-level activity, including logins, document views, and submitted questions.
Can be exported to Excel by changing the “Format” option. |
Logins summary | Provides the total number of logins per team for a specified time period.
Can be exported to Excel by changing the “Format” option. |
Activity log by person | Provides key information for a single person with access to your Data Room. It shows the names of documents viewed and printed; a list of files bulk downloaded; questions asked; and questions viewed. It also indicates whether they have accepted the terms of access and includes their login times.

Document Reports
Report Name | Definition |
Views summary | Provides the entire Document Index and the number of times a document or folder has been viewed by a user or team. From the report, you can select a specific file to see who has viewed the document.
It can be exported to Excel by changing the “Format” option. |
Views summary by date | Provides the number of documents viewed within the specified time period. Information is listed by date and includes a graph displaying the number of views per team.

Percentage viewed by team | Provides a breakdown of document views as a percentage of each team’s accessible documents. The report includes the folder number, folder name, and the percentage of documents viewed by the team for each folder.

Document Views | Provides a breakdown of who has viewed each document in the Data Room and can be used as an audit trail. For the selected document, the viewer's name, email address, team, and the date and time the document was viewed are listed.

Document activity report | Provides information on all documents in the Data Room for each user. This report can be filtered by time period, users, and documents that are enabled or disabled.

Document Index report | Provides you with the Document Index, showing the original document names at the time of upload. This report can be filtered by date and by a specific team’s views. It also shows when the document was originally uploaded to the room and when it was first enabled.

Security Reports
Report Name | Definition |
Document Security | Provides information on the security applied to the documents in the room and which teams and subteams have access to each document. The content is organized by team and subteam and includes document access, save permissions, print permissions, edit permissions, copy permissions, and watermark information.

Document history report | Provides all changes that have occurred to a document in the room within the specified time period.

Q&A Reports
Report Name | Definition |
Q&A Summary | Provides the total number of questions submitted to Q&A, including those awaiting approval from an approver. Can be filtered by enabled users or teams, disabled users or teams, and time period.

Q&A Summary by Date | Provides a Q&A activity by Teams and date for a specified time period. Content includes number of questions submitted and number of answered viewed.

Aged Questions | Provides a list of questions that are awaiting action and how long they have remained unaddressed. From the report view, the Q&A Admin can forward the questions and answers to other users in the Data Room who have access.
Content includes Question Status, Action User, Status Age, and Submission Age.

Export to Excel | Provides an export of the entire Q&A in the room, including Subject, Question Author, Answer Author, Action User, and Status User.
The report includes multiple filter options and can be exported for easy analysis or printing.

Room Reports
Report Name | Definition |
Popular Items | Provides an Excel report showing the documents generating the most Q&A activity for a team or person, the most viewed document, the most viewed folder, the most active person, and the most active questions.

Room Size | Provides a report that shows the size of the Data Room on a daily basis. It also shows the total number of documents that are enabled or disabled.

Billable Users | This report is only useful for administrators on our old-type contract, which charged per user in the room and is no longer offered.
The report shows which users are occupying a license. |
How to exclude certain users from appearing in the reports.
Admins can exclude specific sell side and buy side teams from their reports if they would like a more refined view (Note - this does not mean that the excluded teams' activity will not be tracked)
Step 1: Log in to the Ansarada Data Room
Log in at dash.ansarada.com
Step 2: Navigate to the Sell Side/Buy side
On the left-hand side, click either "Sell Side/Buy side" depending on which users you don't want to show up on the report.
Step 3: Navigate to "Edit People"
Click on "Actions" at the top right of the page and then click "Edit People"
Step 4: Choose which users to not show up in the report.
Tick the box next to Show activity in reports and make sure that its turned off
Tick the Team or Users that you want to exclude in your reports and then press Update.

It depends on the offset time of the room. This article explains more about offset time and how to change it for the room.
Some reports are set to Sydney time by default and cannot be changed.

Q&A report access is determined based on your Q&A role, if assigned.

You will need to locate the user you want to check, click the three dots to the right of their email address, and select "History" You will see a column called "Show Activity in Reports" which indicates whether they are included in the reports.

If the room is large, the report may take some time to generate and download. If you are receiving an error message, we recommend shortening the time period and trying again.

The option to have reports emailed to you is not available in the room. Reports must be downloaded directly from the room when needed.
